CHAPTER ONE

INTRODUCTION

1.1 The Background of the Study 

One definition of environment is “the natural conditions in which humans, other animals, and plants live.” Another definition is “all the surrounding things, conditions, and influences affecting the growth or development of living things.”

The first definition comes from the Oxford Advanced Learners Dictionary. In simpler terms, the term “environment” refers to the physical setting in which all forms of life exist.

Thus, the workplace setting is considered the environment for the sake of this study. Good working relationships and high productivity are fostered in this type of atmosphere for secretaries.

Two main categories characterise the secretary’s work environment: Direct vicinity Isolated setting The secretary’s office and any other offices in the same building are considered immediate surroundings.

The term “remote environment” refers to factors outside the secretary’s control that have an adverse influence, such as the building’s temperature, noise level, cleanliness, illumination, attitude of coworkers, and overcrowding.

Consequently, employers should prioritise creating an environment that is as favourable as possible for the secretary’s increased productivity, as this is the ultimate objective of any employer.

Your personal office is a space for increasing competencies and the image of your organisation through the creation, layout, and use of physical elements such as chairs, tables, storage, lighting, decoration, and more.

Considering the foregoing, this study will examine how various aspects of the office setting, such as its lighting, cleanliness, ventilation, internal noise, and heating, influence secretaries’ ability to get their jobs done.

1.2 Statement Of The Problem

In order to find out how much of a negative impact things like noise, ventilation, and an inadequate work area and equipment have on a secretary’s ability to do her job well.

1.3.1 Objectives of the Study

I. To investigate and determine the impact of environmental factors on an organization’s working secretary.

II. In order to persuade the company to invest in additional office automation in order to maximise secretarial productivity

III. To offer suggestions for how the company might better accommodate its employees

1.4 Research Questions

i. Would a secretary’s productivity drop if the office’s electricity went out for an extended period of time?

ii) Does an office with excessive noise levels have an effect on the secretary’s efficiency?

Iii) Is there a correlation between a dirty workplace and lower output?

IV. Is it the case that a stuffy workplace makes people sleepy, which in turn leads to less precise work?

1.5.1 Limitations of the Study

The Federal Polytechnic Kaura Namoda serves as the sole case study in this research.

1.6 Scope of the Study

Secretaries’ work at the Federal Polytechnic Kaura Namoda will thus be the primary focus of the research.

1.7 The significance Of The Study

Finding out how office conditions affect secretaries’ daily lives is one of the main goals of this research, along with the following:

To provide an organization’s secretaries with standards or a point of reference

So that it can be easier for students to find relevant information for their research projects.

1.8 HISTORICAL BACKGROUND OF THE CASE STUDY

In June 1983, under order no. 33 of 25 July 1979, as revised in 1985, among others, the Federal Polytechnic in Kaura Namoda, Zamfara State was conceived and established by Alhaji Shehu Shagari, who was then the Executive President of Nigeria.

Among the pioneering local governments established in 1967, the Polytechnic is located in Kaura Namoda, which comprises an area of 4.98 square kilometres and, according to the 1991 Population Census estimates, a population of 370,367. The decree lays out the following goals for the polytechnic: to offer classes as a means of education and training in:

Science, technology, business, and administration Moreover, in any other recognised area of study that is pertinent to the requirements of Nigeria’s growth in the domains of distribution and production of agricultural goods and services and the like. Additionally, for studies examining the evolution of adaptation, the results of which may be ascertained periodically.

To set up study groups, conferences, and seminars that pertain to the subject of education. At present, the polytechnic is home to five schools, each with its own director.

One of the campuses, “ACADA,” is located in the town’s northwest, while the other, “MAIN CAMPUS,” is along Shinkafi Road, some three kilometres distant from the town campus.

Further the goals of the polytechnic by acting on the Council’s recommendations and other decisions. At the polytechnic, the responsibility lay with the Rector. Alhaji Ja’afar B. Ango served as the first rector of the Federal Polytechnic Kaura Namoda from 1983 until 1991.

The current Acting Rector of the Polytechnic is Engr. Lugard A. Ahmed. The five schools that make up the Federal Polytechnic Kaura Namoda are:

Computer Science, Mathematics and Statistics, Science Laboratory Technology, Food Science Technology, and Catering and Hotel Management are all parts of the School of Science and Technology. The Architectural Technology, Quantity Survey, and Building Technology departments make up the School of Environmental Studies.

Among the many academic programs offered by the School of Business and Management Studies are those devoted to public administration, accounting, business studies, marketing, and office technology and management.

The Electrical/Electronic Technology, Civil Engineering, and Mechanical Engineering Technology programs make up the School of Engineering Technology. The Pre-ND BAM, Science, and OTM departments make up the School of General Studies.

A director oversees the Polytechnic’s Consultancy Unit, which offers part-time courses like Public Account and Audit, Public Administration, Computer Science, Electrical/Electronic Engineering, and OTM certificate programs, as well as diploma programs in Public Administration, Computer Studies, Public Account and Audit, and Islamic Studies.

1.9 Definition of Terms

In this context, “environment” means the actual physical state of a secretary’s workplace.

An executive’s personal assistant, a secretary handles correspondence, forms, and appointments as well as types, fills, and types.

One’s condition can be good, terrible, outstanding, or perfect, depending on their current health status.

A group of individuals can be “organised” for the purpose of conducting commerce.

The term “equipment” is used to describe the various office necessities that a secretary might use to do her job better.

In this context, “furniture” means any piece of office decor, such as a desk, chairs, wall clock, etc.
