ABSTRACT

The secretarial profession has recently declined in popularity. Various schools of thought have begun to suggest explanations for this unfortunate trend. Some ascribed it to the nature of the occupation, while others believe it has to do with the CEO who is constantly bossing the secretary. This course work aims to identify the elements that contribute to the advancement of secretaries in corporate organisations.

1.1 Background of the Study

Most writers on secretarial tasks, secretarial management, and office organisation have deliberately avoided discussing professional secretaries’ activities, levels, and positions, with the exception of the amount of letter, memo, etc. type or minutes and pages of report that they generate.

Clearly stated, the rules and levels or positions of secretaries are intended to establish concepts; however, it is in the endeavour to uncover and lay down those rules and norms that should be followed that we discover some elements that boost the progress of secretaries in organisations.

Some of these tasks were not implemented, but a subset of them frequently elicited public disapproval and hampered their growth. With the emerging situation. The profession is gaining recognition as one of the most adaptable vital services in modern economic societies.

Nonetheless, the profession is becoming more difficult, and too many people may enter the ranks as a future prospect. The secretary’s full potential in the country will be realised when technical and industrial development progresses. (Utomi, 1990).

According to the National Secretaries’ Association (International), a secretary is an executive assistant who is proficient in office skills, demonstrates the ability to assume responsibility without direct supervision, uses initiative and judgement, and makes decisions within the scope of assigned authority.

With the preceding definition, we can conclude that the current secretary is a potential officer. A secretary is essential to management, and it is true that a good secretary may make an average manager highly effective, while a terrible secretary can render an able executive ineffectual. (Odenigbo, 1990).

A lack of job descriptions for secretaries has resulted in skill misappropriation, unfair workload distribution, low morale, and boredom (Appt; 1979). He then emphasised that each secretarial position should be evaluated and job criteria established in order to create a more accurate job description.

Secretarial staff job descriptions should include a statement about what a secretary does on the job and what she knows, as well as other types of things done on the job such as preparing a venue for a meeting, providing refreshments, and ensuring the cleanliness of the office, which do not relate to the basic skills (Mayes and Beach, 1967).

Experience has proven that, despite everything a secretary does to promote the organization’s image, little, if any, appreciation is given to her by the boss she serves. Lack of recognition and an ambiguous professional function have contributed to a secretary’s negative self-image in Nigerian society.

Many people refer to anyone who can type as a secretary, even if they lack the necessary abilities. This misunderstanding of who a secretary is and what she does has resulted in unchallenging employment experiences, inadequate compensation, and a lack of respect from the executive for whom she works.

As a result, secretary positions are either underutilised or overutilized by organisations, leaving no room for promotion. Secretaries’ progress and promotion are totally dependent on their bosses, which discourages independent initiative.

It is consequently vital to investigate the aspects influencing the advancement of secretaries in current commercial organisations.

1.2 Statement of Problems

The role of secretary in any organisation is distinct. She is extremely important and helps to shape the organization’s image. She is her organization’s mirror, while others characterise her as its lifeline. As a result, it is dubious that any top executive can effectively carry out his tasks without the support of a secretary.

Apart from being an administrative aid the secretary execute such additional activities such as clerical and receptionist chores and in certain circumstances undertakes some accounting jobs, which are not quite in line with her job description.

The secretary’s responsibilities encompass all aspects of the organization’s activities. Some schools of thought identify the secretary as a “unclassified” office professional who is neither here nor there as a result of her all-purpose role.
