ABSTRACT
This project provides insight into the design and implementation of a pharmacy management system. The major goal is to increase accuracy, safety, and efficiency in the pharmaceutical shop.

Today, management is one of the most important aspects of all forms. Management provides the expertise to complete any type of activity in a certain format. This project’s research technique is SSADM (Structured System Analysis and Design Method).

This work also indicated how to successfully apply the computerised technique and overcome the barriers to system installation. The new system was created utilising the Microsoft Visual Basic 6.0 programming language. This language was chosen due to its simple syntax and capabilities for constructing Windows-based apps.

 

Chapter One: 1.0 Introduction

A pharmacy management system is a management system that is intended to increase accuracy, safety, and efficiency in pharmaceutical stores. It is a computer-based system that assists pharmacists in improving inventory management, cost control, and medical safety.

During the opening stock and sales transaction, the system allows the user to enter a product or drug’s manufacturing and expiry dates. The system will also provide a report containing a list of products that will expire after a defined date but before the product itself.

It also requires manual entry upon the arrival of new batches of drugs and upon drug movement out of the pharmacy for a set period of time, such as every month.

The pharmacist may want to generate a report for the movement of drugs in and out of the pharmacy, obtaining information about the drugs, such as expiry date, date purchased, number of drug types left, and location of a drug in the pharmacy.

The pharmacy now operates on a manual system. The pharmacist must manually monitor each medicine that is offered in the drugstore. As the chemist’s workload increases, errors are more likely to occur.

1.1 Background of the Study

Because of its size and high-quality service, the pharmacy has a wide customer base. These customers typically visit the drugstore for services after work.

At this time, the number of clients who visit the pharmacy is increasing, making the pharmacists’ workload much more tedious. This situation makes it difficult for the chemist to serve customers in a timely manner.

Meanwhile, in order to retain consumers, chemists must ensure that their services are satisfactory. The problems described above cause delays in the delivery of services to clients, decreasing sales and increasing the risk of losing key customers in the long run.

1.2 Statement of the Problem

Pharmacy administration maintained paper records in filing drawers. Managing a large pharmacy with paper records will be time-consuming and difficult to maintain track of inventory in terms of pharmaceuticals in stock, expiry dates, and the quantity of drugs available depending on categories and functions.

The chemist must order medications to replenish the already depleted supply. Furthermore, drug orders are manually processed. A significant amount of time is dedicated for writing the order since the chemist must go through the stock balance and create a preliminary estimate of the amount to order based on the figures.

Drugs should not be used after they have expired. This project effort will alert the chemist to pharmaceuticals that are ready to expire, preventing them from being sold while also giving a remedy to the previously mentioned issues.

1.3 Aims and Objectives

The goal of this project is to provide software for the proper operation of a pharmaceutical store that can accomplish the following objectives:

Ensuring effective policing by supplying drug inventory figures.

Maintaining an accurate database by offering the option to update the medications in stock.

Improving system efficiency through excellent service and activity monitoring.

To ensure optimal medicine inventory management, monitor drug mobility in the pharmacy.

To guarantee that access is controlled according to functionality and role.

To guarantee that the system is user-friendly.

To be able to generate a report within a specific timeframe.

1.4 SCOPE AND LIMITATION.

The scope of this project is limited to the activities of a pharmaceutical store, which include improving health outcomes, reducing hospital and long-term care admissions, improving access and care in the Estate and surrounding communities, and ensuring the best use of resources.

The use of a computer-based management system to improve pharmacy efficiency is required, and it is an essential part of any modern, ever-changing society.

The system will not be able to handle drug prescriptions or drug-drug interactions. The system will be unable to manage contraindications and polypharmacy in a prescription, implying that these services must be handled manually by the chemist.

1.5 Research methodology

The study methodology employed for this project describes how the pharmacy management system for Boniks Pharmacy and Stores in Gwarimpa Estate, Abuja, will be built.

As a result, the approach for designing and collecting information from diverse sources is as follows:

In-depth analysis of the current system and organisational style.

Understanding the present system’s input and output procedures.

A qualitative interview was done at the organisation to better understand how the old system worked.

Primary data: This source refers to the textbook used for the development of this project.

1.6 Definition of Terms

A system is a sophisticated, purposeful collection of interconnected components that collaborate to achieve certain goals.

A drug interaction is a circumstance in which a substance (typically another drug) influences the activity of a drug when both are administered concurrently.

Polypharmacy is defined as the use of many medications by a patient, particularly when a patient is prescribed more drugs than is clinically necessary.

Contraindication: A condition or factor that serves as a reason to refuse a specific medical treatment.
