DESIGN AND IMPLEMENTATION OF EMPLOYEE INFORMATION AND PAYROLL SYSTEM

Chapter One: Introduction
Humanity has gone through two great revolutions in recent centuries: the industrial revolution and the technological revolution. The former changed our society from one focused on agriculture to one centred on technology.

In the twenty-first century, many manual processes are being implemented electronically. Payroll is not an exception. This effort aims to implement this in manufacturing organisations.

1.1 Background of the Study
Payroll is a company’s list of employees. It is commonly referred to as the company’s records of its employees’ salaries and earnings, bonuses, and taxes, as well as the department responsible for calculating and paying them.

This task aims to design, test, and deploy a payroll system for a manufacturing company. The current payroll system is based on manual processes.

As the number of employees expands, a computerised payroll system becomes necessary. Therefore, the goal of the project is to design a computerised payroll software for the organisation.

1.2. Statement of the Problem

Manual payroll methods usually place pressure on employees to be accurate in all aspects of their employment. It is too easy to switch details accidently, resulting in discrepancy in data entry or handwritten orders.

It can be time-consuming and costly. The purpose of this task is to design and build a payroll system because the organisation now lacks an automated way of managing staff salaries, records, and so on.

Other problems induced by the manual payroll method include:

Inconsistent data entry leads to inaccuracies in information.

Training employees on payroll management is costly.

Reduced sharing of information and customer services.

Report production is time-consuming and costly.

Data is insecure.

Duplication of data is possible.

This project creates a computerised payroll system that will lessen and eliminate the problems connected with the manual technique of handling and processing employees’ paychecks, records, and so on in the organisation.

1.3. Aims and Objectives
The goal of this research is to create a computerised payroll system for a manufacturing organisation. Specific aims are to:

Design a computerised payroll system to replace the manual one.

Implement the planned payroll system and evaluate its performance qualitatively.

1.4. Significance of the Study

If properly implemented, this study will help to reduce errors and fraud associated with manual processing of employee wages and records, increase speed, and improve a typical manufacturing organization’s technological edge. Manual payroll processes in such manufacturing organisations will be completely removed once MPS is implemented.

1.5. SCOPE OF THE STUDY.

This payroll system is designed specifically for manufacturing organisations and may not fit perfectly into other similar systems. It is referred to as MPS (Manufacturing Payroll System).

1.6. Definition of Terms
This section defines and explains some of the terminologies used throughout the project.

Employee Data: This is a collection of information about employees in the organisation. It includes the employee’s identity number, name, pay rate, biodata, contact information, payment information, personal information, job information, and so on.

Net Pay: This is the total salary amount that an employee would receive after all deductions have been deducted from their gross pay.

Gross pay is the amount an employee makes before deductions are made.

Payroll: A payroll is a company’s list of employees. It is commonly used to refer to the amount of money that a company pays its employees, the firm’s records of salaries and wages, bonuses, and taxes, the department that calculates and pays these, and so on.

Payroll System: This is software that maintains the organization’s employee list or records. It frequently refers to the total amount of money that a corporation pays to its employees. It organises and handles all tasks related to employee payment and tax filing.

Pay Slips: a letter given to an employee when their salary is received that details the amount paid as well as the taxes and insurance withheld.
Employer: a person or organisation that hires employees.

Employee: someone who is employed for wages or salaries, particularly at the nonexecutive level.

W-4 tax form: This is a form that an employee fills out to indicate his or her tax status to the employer. It informs the employer of the amount of tax to withhold from the employee’s paycheck.

The Internal Revenue Service (IRS) is a state government department in charge of tax collection and enforcement.
