1.0 Introduction.

Gate Pass Management System is a software application. It manages the entry and exit of staff and visitor vehicles. The Gate Pass Management System is an effective system for tracking each vehicle entry and exit.

The Gate Pass Management System (GPMS) allows you to handle all incoming and outgoing items from your workplace or corporation. The Gate Pass Management System is accessible for use and is simple to operate and manage.

This system is classified as a gate pass security system, with the primary goal of protecting the firm from outside visitors, contractors, and departments, as well as the security of company vehicles, materials, visitor scrap information, and contractors.

 

Gate Pass Management System enables both the organisation and the visitor to manage Gate Passes. Frequently, visitors enter data at the top level to make it easier to enter and exit.

The Visitor Management system allows you to properly regulate, record, and track your organization’s visitor traffic. It aids in the prevention of any unauthorised or unwelcome individual entering the premises.

The modular architecture of the Visitor Tracker System enables diverse members of the organisation to immediately access the data they require. Integrated with a variety of gadgets, including a webcam, fingerprint scanner, barcode scanner, and printer. Email/SMS/popup alerts for visitor notifications. Available in client-server and enterprise versions.

The Visitor Management System consists of three modules with user-specific roles.

Administrator Module: This module is often installed on a Security Administrator PC. It comprises of a menu where administrators can define companies, host details, user rights management, Set the gate pass formats. Generate reports.

Host Employee Module: The host personnel can view the visitor information on the web pages. A pop-up client is also available, which alerts the host to the visitor.

The host might communicate the response to the security gate staff.

Security Gate Module: The Security Gate module is positioned at the entrance to the premises. It allows the staff at the security gate to register the visitor’s information, including a photograph, and to notify the host employee on the grounds.

The system will print a visitor pass with the visitor’s name and other information in accordance with the designed gate pass format. Security can hand over a generated gate pass in the proper format to the visitor.

1.1 Background of the Study

Many enterprises and institutions require gate passes for entry and exit. The gate pass is typically either a written piece of paper or a receipt sheet. This sheet is no longer useful once it has left the premises, resulting in paper waste.

Our technology presents a “Paper Saving Idea” for the same. It comprises of a design where the visitor can enter the required details, viz. visitor id, name, contact, reason to enter/leave, and where he/she will enter this on a touch screen enabled kiosk system, where this information will be redirected to the higher authority in the organisation.

The higher authority would have the visitor’s information from the database. If this is true, the visitor’s information will be kept in a database, and after permission is granted, the respected guest will receive confirmation that he or she is permitted to enter/leave the premises before the time limit.

1.2 Statement of the Problem

Managing guests at student housing is one of the key challenges that the OGITECH administration faces while dealing with student visits. The current security management approach is as follows: visitors arrive to the guard houses of these OGITECH students’ accommodations, show identity proof, and then offer the unit and block number that they want to visit.

The security guard at the guard house will call the student of the unit number provided by the visitor, and the student resident will acknowledge that the visitor at the guard house is his visitor. Once the resident has been acknowledged, the security guard will allow the visitor to enter the accommodation.

guest management at the OGITECH student is now manual, consuming a significant amount of time from visitors who must wait for the security guard to call the OGITECH student to acknowledge he has a guest.

All of this takes time, especially when there is a high volume of visitors at the guard house. For the student resident, it is more uncomfortable when there is a gathering of friends because each guest must attend phone calls from the guard house, which consumes a significant portion of his party time.
