POSSESSION OF POOR COMMUNICATION SKILLS BY SECRETARIES WORKING IN GOVERNMENT ESTABLISHMENT

ABSTRACT

Using the Ministry of Works and the Commerce and Industry as a case study, this study sought to investigate if secretaries employed by the government possessed inadequate communication skills. In order to do this, three research questions were developed. This research made use of a survey design and basic random sample procedures. All of the secretaries from the chosen government agencies make up the population size. The researcher used a purposive sampling technique to choose 40 respondents, with an additional 30 validated. Data was collected using a questionnaire that was both self-constructed and validated. Using frequency tables and percentages, the collected and validated surveys were analysed. The research shows that secretaries’ job performance suffers when they don’t have good communication skills. The main reasons behind this include their educational background, their lack of knowledge about how to use modern communication gadgets, the availability of these gadgets in the office, their addiction to the old ways of communicating, and the lack of opportunities for training. The tools that secretaries need to improve their communication skills include computers, fax machines, and many more. The study concludes that there will be a huge increase in the unemployment rate for people who studied secretary and suggests that all government agencies consider hiring linguists instead. But these secretaries can get the training the company needs. Consequently, it is imperative that the proper authorities in charge of these organisations provide their secretaries with sufficient training opportunities. This will help them become more proficient communicators and familiar with contemporary communication devices.
