1.0 Introduction
Record keeping is the process of gathering, entering, storing, categorising, summarising, and interpreting information. Record keeping has two aspects: financial record keeping and administrative record keeping.
The main objective of a financial record is to help decision makers evaluate a company’s financial soundness, profitability, and future prospects. In contrast, managerial record keeping is suited to a certain company’s needs.
It enables executives to monitor their progress in carrying out their plans, uncover problems that require executive attention, and achieve organisational goals.
The goal of record keeping is to create financial statements for a company entity. As a result, we focused this investigation on the institution’s record-keeping system.
Almost all actions that were formerly performed manually by humans can now be completed in a matter of seconds thanks to computer technology.
Since the development of the “wonder machine,” there has been a shift from manual to computerised methods for performing specific activities.
1.1 Background of the Study
On January 21, 2005, Caritas University Amorji Nike Enugu opened its business centre. Justifiably, Caritas University’s business centre has the challenge of maintaining proper records of financial transactions, employee files, and managerial documents for the purposes of planning, accuracy, fast data processing, and security.
They accomplish this manually, which has the disadvantages of insecurity, high operational costs, and a long period of time spent processing data.
The design and development of a computerised record keeping system in the business centre will undoubtedly provide significant respite from the challenges connected with manual record keeping.
As a result, the study aims to create an efficient computer software package capable of handling the business center’s record-keeping system.
1.2 Statement of the Problem
Fidei Poly’s business administration is largely manual. The documentation of employees, students admitted, and their actions is done manually in a book that appears rough.
As a result, ants and vermin cause physical harm to the books or files, and dust particles accumulate, causing the information to be lost, misplaced, or even altered.
The long queue of students waiting to be attended to on a daily basis, the tiredness, and the time wasted in daily account reports to management can all be minimised or eliminated with the implementation of the proposed method.
1.3 The purpose of the study
The goal of this project is to create software that may be used to keep track of the staff and students who participate in its activities. Also to promote efficient and excellent services to individuals.
1.4 Significance of the Study
The primary goal of this project is to computerise the manual record-keeping system employed at Fidei Poly’s commercial division. It will help in a variety of ways to improve the queuing system in the business centre.
1.5 GOALS OF THE STUDY
The primary goal of this study is to create an automated record-keeping system. Other aims include
i. To save time (quick inputting and accessing records)
ii. Enable management to plan forward.
iii. To reduce staff tiredness.
iv. To verify the records are accurate.
v. To ensure the security of the documents/records, the system would be password protected to limit access.
vi. Ensure the integrity of the records
vii. To assure uniformity of accounts and reduce errors due to damage.
viii. To reduce forgery and loss of records through theft
ix. Promote efficient and excellent services.
