ABSTRACT

The overall goal of this research work “The effects of poor office environment on the secretary’s job performance” was to discover the effects of poor office environment on the secretary’s job performance.

The Institute of Management and Technology served as a case study. This study’s data was acquired using a questionnaire and observation methods.

The administered questionnaires were evaluated in tabular format using basic percentages. The study’s findings revealed that the depressing and stimulating nature of most offices had a negative impact on secretaries’ overall job performance.

Additionally, the small floor space and congested nature of some offices did not provide the secretary with adequate comfort and balance to discharge their duties effectively.

Other issues included improper reminerations, a lack of basic equipment, and mosquito-proof devices in the majority of the office. Based on these findings, the study suggested that:

1. The office should be stimulating and comfortable, encouraging work and boosting the secretary’s morale.

2. There should be adequate floor space and, if feasible, distinct rooms to minimise overcrowding and the accumulation of objects that make an office appear drab and gloomy.

3. The institute’s administration should develop a pension programme and provide suitable salary for its employees, particularly the secretary, in order to boost morale and encourage them to stay in their department.

4. The secretary should be equipped with the required office equipment and stationary.

Background of the study

A secretary’s work is particularly delicate and confidential, so a healthy office environment is required to allow her to carry out her tasks efficiently.

Every organisation need an understanding of the office environment in order to improve a secretary’s morale based on job performance.

In general, the office atmosphere has a significant impact on employee performance. The office and its appearance, the manner in which work is carried out, the materials available and their location, safety precautions, medical care, the relationship between staff members and the boss

remunerations, and other social welfare recognised as major elements of work on the office environment, which are directly related to workers’ morale and ability to discharge their duties effectively.

The secretary is a vital member of staff, thus management must prioritise how to inspire her.

The nature of a secretary’s work environment has a direct impact on her morale and health, as well as her overall performance in carrying out her duties.

As a result, the office atmosphere effects a secretary’s work volume and quality, as well as her interest and pleasure.

The office environment in the context of management has been defined to include the office building and layout, furniture and equipment, the physical conditions under which the secretary operates–lighting, heating, ventilation, decoration, soundproofing measures, safety measures, and so on–as well as social conditions such as relationships with coworkers and the boss, remuneration and welfare package.

1.2 Statement of the Problem

In general, it is considered that if the working environment is not conducive, a worker will be unable to fulfil his or her obligations as efficiently and successfully as expected.

In consequence, the core functions of a secretarial office are heavily affected and jeopardised by an uninspiring setting.

Today, secretaries face a variety of issues as a result of a terrible work environment, which has a significant impact on their performance.

Among these is a shortage of private office space; secretaries frequently share offices with other employees, some of whom lack basic facilities befitting their status.

1.3 Objectives Of The Study

This project aims to investigate the following:

1. The impact of a dismal and uninspiring workplace environment on the secretary’s job performance.

2. The impact of a small floor space and a busy office environment on the secretary’s job performance and attitudes towards work.

3. The impact of the lack of essential amenities such as air conditioners, fans, executive seats, and jesles on a secretary’s morale and overall attitude towards work.

4. Other issues in the working environment impede secretaries’ ability to perform their jobs effectively.

5. Recommend how to best improve the office environment for secretaries’ smooth operation if it has a significant impact on their job performance.
