INTRODUCTION
Background of the Study
Collaborative work and file management are important functions in any organisation. Collaboration, according to the 11th edition of the Collins English Dictionary, is defined as working together to achieve a common goal.
It is a recursive process in which two or more people or organisations work together to achieve common goals. Traditionally, team members must be in the same space to effectively collaborate on reaching desired goals, making distance and individual location a trade-off for project growth. In essence
if a possible member of a project team is in a different geographic area, the project is automatically put on pause until he returns. This isn’t great for collaborative project development.
On the other hand, file management refers to the manipulation of documents and data on a computer system, which may include generating, modifying, storing, and accessing files.
Most computer systems save files locally on the hard disc (potentially in several formats), occupying memory space, which is of course restricted in capacity.
Not only does insufficient memory space exist, but other causes like as virus attacks, damage, and so on might result in the loss of critical files on a certain system.
To address the issue of distance as a trade-off to project development, as well as the issue of effective file administration, the research team designed and built a cloud-based collaboration and file management system aimed at mobile device end users.
Cloud computing, also known as “the cloud,” is the creation of on-demand computing resources – everything from applications to data centres – via the internet and on a pay-per-use basis.
According to Raov, Nageswara, and Kumari (2009), the development of the cloud has made it feasible to access shared resources from computer systems across geographical boundaries via the internet; even mobile devices now have the ability to integrate cloud technology.
The application allows users (potential team members) to effectively work on shared goals regardless of their physical location by storing, editing, sharing, retrieving, and manipulating files and documents collaboratively over the internet using their mobile devices, fostering a sense of teamwork among them.
The programme will be created as a mobile application to eliminate the possibility of users being in a location without access to a computer system.
Users of the application can successfully perform file management functions without worry of file loss or damage because all data is managed remotely (in the cloud).
This system is made up of two parts: a web service created and developed in Java or PHP and hosted on a remote computer system, and client software that runs on the end user’s mobile device.
1.2 Statement of the Problem
During our research, we noticed that the rate at which shared goals are developed is determined by the availability of team members; when a possible team member is not in the same space as other team members, project progress slows.
Furthermore, it was revealed that the majority of system users still rely only on their system’s immediate memory to process and handle files. All of these results have led to various shortcomings, including the fact that
Project team members must be at the same location to work together, resulting in redundancy in project development.
While employing an online browser-based application to solve the aforementioned problem, team members may find themselves at a location without access to a computer system, making collaboration at that time impossible.
Most mobile device memory utilised for file management is vulnerable to virus attacks, theft, system crashes, and damage, and it also lacks the memory space to manage this files.
1.3 aims and objectives of the Study
The goal of this study is to create a system that should be capable of:
Manage data on a server using a web service.
Serve as a client-side office suite for optimal communication and file management on mobile devices.
1.4 Significance of the Study
The significance of this research stems from the fact that it involves developing a software programme that allows users and project team members to efficiently edit and co-author files and documents regardless of their location.
By saving, editing, sharing, retrieving, and modifying files and documents collaboratively over the internet using their mobile devices, they build a sense of teamwork among themselves.
The solution will also allow users to share important files and documents with other team members. This system’s ability to store, retrieve, and manage critical files allows system memory to be reserved for other tasks, which is another important aspect that makes it relevant. By storing files remotely, the method helps to limit the risk of file loss and damage.
The significance can also be seen in a scenario where a potential team member is travelling to somewhere on a public bus and his team members urgently need his input on a project they are working on; of course
they will call him to tell him what state they are in right now, but he will be unable to do anything until he gets off the bus and seeks out an internet connection.
The research team analysed this anomaly, conducted additional research, and discovered that the majority of mobile phone users utilise smart phones and carry them with them. This prompted the study team to investigate the feasibility of adopting cloud collaboration utilising mobile devices.
