Chapter One: Introduction
The primary goal of communicating information in any organisation is to create a way by which staff can readily obtain information about the organisation, its operations, and activities without having to physically count quantities.
Information in management information systems (MIS) is a valuable resource that allows a business or organisation to steer in the proper direction in order to achieve its goals and gain a competitive edge.
This increases administration’s efficiency and effectiveness. Information tracking gives relevant intelligence for decision making at the appropriate time.
Maintaining patient records is an important activity in medical data processing. When a patient attends a hospital for the first time, a folder is made and a card member identity number is assigned to the patient. This number is unique to that patient, and any information on the patient is saved or accessible by searching for the hospital folder containing that number.
Patient tracking information is collected and saved in their hospital folder. As these records accumulate over time, the hospital will compile a compilation known as the patient’s medical history.
This medical history is extremely detailed, making it nearly impossible to access historical records of patients that have been maintained for a long time.
Much of the information tracking system is handled by record officers, who collect information from various departments of the hospital and store it as expected. Although record officers may be able to keep this information, the process of getting and even maintaining it is often slow, time-consuming, and potentially laborious.
The computer-based approach was created to address some of the issues associated with information tracking in a hospital. This is accomplished mostly by incorporating specific data processing rules and information into the automated system to assist manage and monitor how data and information are stored, accessed, used, and retrieved.
The processed information is stored in a computer and can be accessed via electronic methods. To prevent an epidemic outbreak within a region, all that is required is to offer necessary facts on the number of deaths caused by a disease and the corresponding solutions that can be utilised to combat the sickness.
Information can be retrieved on a specific problem, so it is done electronically.
STATEMENT OF THE STUDY.
The need for this study stemmed from the desire for an automated system capable of monitoring the vast records associated with individual patients, computerising necessary information such as bills, and ensuring that each patient pays his or her bills and does not owe the hospital more than the amount specified by management.
Hospitals, particularly large ones, confront numerous challenges when attempting to manually maintain and store patient records. Patients frequently have to wait a long time before their files or hospital folders can be retrieved.
This circumstance can be particularly frustrating in emergency situations where a patient requires immediate attention yet time is spent seeking his or her file or folder in order to obtain information about the patient’s medical history.
Information about a patient cannot be shaved simultaneously by various medical staff because a file or folder can only be in one location at a time.
Every hospital is expected to preserve a record of each patient’s medical history for ease of reference. Because these files are frequently transported from one location to another, they are readily misplaced or accessed and changed by authorised individuals.
All of these issues might cause the hospital’s services to deteriorate and become inefficient.
